Ad 1. News
· Election for ITU’s Internal Working Environment Organisation (Deadline 26 November)
Lene has warned that it might not be possible to find one from BIT at the moment, but Lene hopes that you will consider to run if you feel for it.

· Faculty development reviews (medarbejderudviklingssamtaler, MUS) will be conducted in January and February
The template (On the ABC) is not very good. The Personnel Department is aware of it, and the template will be revised Spring 19. But we have to use it one more time.

People employed in a project have MUS with their PI or manager.
Lene will use this opportunity to get to know more about you and your work – please attach a piece of work you want Lene to be familiar with. Also relevant when Lene meets with people from outside ITU.
Lene suggests that the MUS focus on your expectations and ambitions in the coming 2 years (or more).

Deadline: MUS will be conducted in January and February.

Process:
Lene will invite all she is having MUS with in Outlook. There will also be timeslots reserved for MUS in Lene’s calendar, where you can rebook, if the suggested time does not fit you.
If those of you not having MUS with Lene want to talk with Lene, please initiate a meeting.

Christopher: FYI: We are allowed to have more than one union representative (one for each union represented at ITU). The role is overlapping with the working environment representative, and it is an important resource in salary negotiation etc.

Lene is aware that the department is understaffed, but before we hire more permanent faculty, we need to get an overview over which teaching competencies we need.

Ad 2. Presentation of new department initiatives (Lene)
Please see Lene’s slides presenting her thoughts and suggestions for new department initiatives.

Lene stresses that it is very important for her to help create a good working environment for everybody in the department. Therefore, Lene is happy about the fact, that faculty have already started the department vision work – Lene agrees on the vision and want to help fulfill the vision you have already started.

Lene also thanks the department for the warm welcome she has experienced as new department head. Lene is very happy and a bit overwhelmed that you are so confident in her in the role as new department head.

Educational portfolio – there is no reason why our education programs cannot grow. We fulfill all the conditions like employment, qualified students etc. We have a lack of teachers now, but we have the ambition and format to grow in the future.

Lene presents her suggested meeting structure for recurrent meeting.

Lene wants to continue department meetings on a monthly basis. Maybe it can be discussed, who should participate in department meeting.

A new initiative: Lene wants to make a new forum where all PhD students get together and have seminars 2-4 times each year. Besides that Lene will put means aside, in order for PhD-students to host 1-2 department events each year. It is important that PhD-students and research assistants are involved and informed about what happens in the department.

Lene wants to be available for the research groups, and offers to participate in the research groups meetings – but the research group must initiate her participation.

Department get-together:
Marts – faculty help plan events.
Summer party just before summer vacation
Department retreat ultimo November

It is Lene’s view on when to place the activities – other suggestions are welcome.

Department coffee – every Thursday 14-00 to 15-00 in 3E-corridor.
First department coffee is held 20 December.

Lene is trying to get an overview of department budgeting and employees in the department – her aim is more transparency, but it is surprisingly hard to get the full administrative overview.

Lene has a focus on reducing the stress load in the department. Important that we address the issue and figure out how to be more comfortable with what we are doing as a department. Lene encourages faculty to come and talk to her, if you feel any stress.

Questions/comments:

Lorenzo: What kind of events do you expect to be held by PhD-students?
Lene: The seminars. Only expectations for now is that we set up this new meeting structure.

Christopher: consider to incorporate associated professors in research decisions and not only full professors. When it comes to the framing of the research or direction of the department associate professors should be represented as well.
